Commercial building cleaning relationships fail most often in the first 30 days. The scope isn't clear, the crew doesn't know the building, and the property manager is fielding complaints before a feedback channel is established. Our onboarding process is designed to prevent all three.
Walkthrough
We walk your building before we write anything. We map the common areas, count the restrooms and identify access points, note the floor types and any specialized surfaces (polished stone, exposed concrete, VCT), and identify the traffic patterns in your lobby and corridors. For day porter requests, we note the peak traffic windows. This takes 30 to 60 minutes depending on building size.
Written Scope
Within two business days of the walkthrough, we provide a written scope and price. The scope lists every space being cleaned, the cleaning tasks performed in each space, the service frequency, and the crew assignment. It is written in plain language — not a product sheet. If you identify anything missing or incorrect, we revise before signing.
Crew Assignment and Building Orientation
After the contract is signed, the assigned crew completes a building orientation before the first service night. They walk the building with a manager present, confirm access procedures, and review any tenant-specific protocols (e.g., restricted floors, after-hours access limitations). This is the step that prevents the most avoidable problems in month one.
First Clean and Confirmation
The first clean is documented. We log start and completion times and note any pre-existing conditions that warrant attention in future visits. You receive a confirmation that the first service was completed. If there is a discrepancy between what was scoped and what was found on the first visit, we flag it before the second service.
30-Day Check-In
At 30 days, we schedule a brief check-in with your property management contact. We review the service log, address any feedback from tenants or the management team, and adjust the scope if any element is not working as expected. This check-in is built into every contract, not an optional upgrade. The goal is to catch and fix small problems before they become reasons to change vendors.
Ongoing Communication
After the 30-day check-in, we don't disappear. For issues that arise between scheduled services, the assigned crew lead is reachable directly. For billing, scope changes, or coverage requests, our office handles calls Mon–Fri 8:30am–5:00pm at (866) 958-8773.
